LINEMATE PTE. LTD. ("Linemate," "we," "our," or "us") is committed to protecting the privacy and personal data of our partner companies and the users they engage through our platform. This Privacy Policy outlines how we collect, use, share, and protect personal information when delivering our services.

Our platform enables partner companies to manage, engage with, and support their users via integrated messaging channels, including WhatsApp. We operate under a business-to-business (B2B) model and act as a data processor on behalf of our partner companies.

This Privacy Policy applies to all personal data processed by Linemate in connection with the provision of our services. It covers data collected through our web-based platform, API integrations, and related tools and infrastructure.

Our partner companies are responsible for determining the scope of personal data shared with Linemate. We do not control or influence the type of information they choose to upload, store, or process via our platform.

We collect and process various categories of personal and non-personal information. The specific data collected depends on how our partner companies use our platform. Below is a non-exhaustive list of the types of data that may be collected:

Information provided by partner companies:

  • User details such as name, mobile phone number, designation, and profile attributes

  • Contact information such as email addresses (where applicable)

  • Purchase, subscription, and billing-related information

  • Securely stored third-party credentials (e.g. for API integrations or triggering messaging events)

  • Custom variables defined by the partner company, such as department, location, shift schedules, or employee IDs

Information collected automatically:

  • Device and browser data (e.g. type, version, operating system)

  • IP address and approximate geolocation

  • Login timestamps, activity logs, and system usage patterns

  • Message delivery status, open rates, and other interaction metrics

  • Authentication and access control data

Other information:

  • Data submitted through customer support or onboarding forms

  • Candidate information submitted through job applications

  • Other data that could directly or indirectly identify an individual user

All personal data is uploaded and managed by our partner companies. Linemate does not collect data directly from users and acts strictly on the instructions of the data controller (the partner company).

We use the information we collect for the following purposes:

  • To deliver and maintain our platform functionality

  • To facilitate communication between partner companies and their users

  • To generate analytics and reporting tools for partner companies

  • To ensure system integrity, performance, and availability

  • To identify and resolve technical issues

  • To comply with applicable legal requirements and industry standards

  • To support onboarding, account management, and customer service
     

We process all personal data based on documented instructions provided by our partner companies, and only to the extent necessary to provide contracted services.

5. Legal Basis for Processing

 

Linemate relies on the following legal bases for processing personal data:

  • Performance of a contract: Processing necessary to provide services under our agreement with the partner company

  • Legal obligations: Processing required to comply with applicable laws and regulations

  • Legitimate interests: Ensuring service security, system monitoring, fraud prevention, and efficient delivery of platform features

Our partner companies are responsible for obtaining any necessary consents or providing notices to their users under applicable data protection laws.

6. Data Sharing and Disclosure

 

We do not sell personal data. We may share data only in the following circumstances:

  • With infrastructure and cloud service providers who assist us in operating our platform

  • With integrated messaging service providers, where necessary to facilitate message delivery

  • With auditors, advisors, and legal representatives under confidentiality obligations
    In connection with a legal request, court order, or regulatory inquiry
    In the event of a merger, acquisition, or sale of assets, with appropriate safeguards

All third-party processors are required to follow strict data protection and confidentiality terms.

As a Singapore-based company working with global service providers, personal data may be transferred and stored in jurisdictions outside of the user’s country of residence. Where such transfers occur, we ensure adequate safeguards are in place, such as standard contractual clauses or equivalent legal mechanisms.

Individuals whose data is processed by Linemate may, depending on their jurisdiction, have the following rights:

  • The right to correct inaccurate or incomplete data

Since we process user data on behalf of partner companies, any data subject requests should be directed to the respective partner company. Linemate will support our customers in fulfilling valid user requests in accordance with applicable law.
